Separate sunk costs
Product, original shipping, packaging and labor are already spent. A full refund can turn a profitable sale into a loss even when some fees are credited.
Compare replacement
A replacement avoids refunding revenue, but it adds another unit, another label and more labor. For low-margin items, replacement can cost more than a partial refund.
Price for policy reality
If returns are common in a category, build a refund reserve into the item price or shipping strategy instead of treating every return as a surprise.
Does Etsy refund seller fees when I refund a buyer?
Etsy says transaction and processing fees for refunded transactions are automatically credited when the refund is issued through Shop Manager, while prepaid service fees such as listing fees are generally non-refundable. Use the fee credit percent field when your actual case differs.
Should resale recovery be revenue or profit?
Use the conservative value you expect to recover after extra handling. If you will relist and ship the item again, enter only the net recovery you trust, not the full list price.
